Rules & Regulations

We want to make sure Hearth’s Warming Con can be enjoyed by everyone and without any problems. To make sure the convention runs smoothly, we have established a set of rules and regulations, which you may find below. Please make sure to read these rules before visiting Hearth’s Warming Con.

1. Terminology

In the below rules, the following terms will be used, having the mentioned meaning:

1.1 Convention: Hearth’s Warming Con 2020.

1.2 Organization: all organizers of Hearth’s Warming Con, including the committee and any volunteers.

1.3 Visitor: anyone attending Hearth’s Warming Con as a ticket holder.

2. Ticket ordering

2.1 You can order a ticket to the convention through the Hearth’s Warming Con website:

2.2 When ordering your ticket, you are obliged to provide your full name as written on your personal identification (see also 3.4), your date of birth and your e-mail address. The organization will only use this information to organize the convention. The organization will not share this information with third parties or use it for advertisement.

2.3 The organization may choose to ask for more personal information than mentioned in 2.2. Likewise, this information will not be shared with third parties or used for advertisement.

2.4 The ticket can only be used by the person for whom it was ordered. If you want to transfer a ticket, please contact the organization.

2.5 The organization has the right to make exceptions in the ticket ordering process, such as when providing tickets as contest prizes.

3. Registration

3.1 You will have to have a valid ticket in order to enter the convention. The convention will span three different days. Some tickets give access to all three days, while other tickets only give access to one or two of those days. Make sure you have the right type of ticket for each day that you plan to attend.

3.2 When entering the convention, you will need to provide your ticket number. If you have not received a ticket number, make sure to contact the organization before the convention starts.

3.3 When entering the convention, you will need to show personal identification. Valid types of identification are: a passport, an identity card or a driver’s license.

3.4 When entering the convention, you will be given another means of identification in the form of a wristband. You have to wear this identification throughout the convention. Please make sure it is clearly visible.

3.5 It is not allowed to trade your wristband with anyone else.

3.6 If you lose your wristband, please contact the organization. You will need to show your ticket and personal identification (see 3.3 and 3.4) again in order to get a new one.

4. Venue rules

4.1 If you want to sell anything during the convention, you can get a vendor ticket. To get one, please contact the organization. It is not allowed to otherwise sell items during the convention.

4.2 It is not allowed to use your own consumptions into the venue. There will be drinks, snacks and sandwiches available for purchase from the venue and you can eat your own consumptions outside of the venue.

4.3 Please keep the venue clean.

4.4 It is not allowed to bring animals to the convention.

4.5 Alcoholic beverages during the convention are only allowed on the whole Friday and on Saturday and Sunday after 19:00. On Saturday and Sunday before 19:00, it is not allowed to consume alcohol on the convention grounds. Please consume alcohol in moderation. The organization can remove you from the convention if you get drunk and harass others.

4.6 In accordance with Dutch law, it is not allowed for people under the age of 18 to consume alcohol.

4.7 Smoking is not allowed inside the building or near the entrance of the building.

4.8 It is not allowed to use soft drugs or hard drugs during the convention.

5. Convention security

5.1 Anything that looks like a weapon, could reasonably be used as such, or can otherwise be considered dangerous should be reported to the organization before entering the convention. This includes, but is not limited to guns, swords and knives. The organization needs to approve of the item. Make sure that it is protected and marked with orange markings. Please note that by Dutch law, anything resembling a working firearm is forbidden.

5.2 Any visitor aged 13 or below is required to have signed acceptance by their legal guardian or be accompanied by that guardian.

5.3 Do not harass other people. Not everyone likes to be hugged.

5.4 The organization takes no responsibility for any injury, damage, loss or inconvenience arising during the convention.

5.5 In the case of an emergency, you are to inform any staff member (including venue staff) as soon as possible.

5.6 During an emergency, you are to follow all instructions from the emergency services.

6. General

6.1 The organization reserves the right to expel anyone from or deny them entry to the convention.

6.2 In the case of expulsion from or denial of entrance to the convention, no refunds will be accredited to the person in question.

6.3 The organization reserves the right to alter the rules where necessary.

6.4 If you do not agree with the decision of a volunteer, you should contact a committee member.

6.5 A decision by a committee member is final.

6.6 Everything not explicitly stated in the rules is governed by Dutch Civil Law.

6.7 The organization is governed by Stichting Hearth’s Warming Con. Stichting Hearth’s Warming Con is registered to the Dutch Chamber of Commerce under number 61001724.
